Connect your Google Drive to myReach to bridge the gap between static cloud storage and intelligent information retrieval. By integrating your Drive, you don't just "move" files; you allow our AI to learn their contents, categorise them, and make them available for instant querying through the Assistant and Genies.

Instead of navigating complex folder hierarchies, you can simply ask, "What was the conclusion of the marketing report from last March?" and receive a cited answer instantly.

  • Unified AI Search: Query Google Docs, Sheets, Slides and PDFs alongside your other integrations (like SharePoint or website sitemap) in one single interface.

Steps to Integrate

  1. Go to Imports & Integrations on the left sidebar, and scroll down to the Google Drive integration.

  2. Click the "+Add" button.

  3. Read the instructions and click on "+Connect Google".

  4. Login to the account you wish to integrate.

  5. You will see a list of your Drive's files and folders. You can choose to import specific files or entire folders.

  6. Select the Folders and Files you want to import and click on the Import button

myReach will begin fetching the data and "learning" the content of your files.

đź’ˇ TIP: Importing a Folder will automatically create a Tag in myReach with the folder's name, keeping your organisational structure intact while adding the power of AI.

How it Works: Behind the Scenes

For Folders:

When you import folders from Google Drive, myReach converts them into Tags. This allows the AI to understand the relationships between your files based on their original organisational structure. Here is how myReach handles any changes you make in your Google Drive, to reflect them in myReach and ensure your integration is always updated:

(⚠️ NOTE: Make sure the auto-sync is switched ON, for changes in your Drive to be reflected in myReach)

  • Renaming Folders: If you change a folder's name in Google Drive, the corresponding Tag in myReach is updated. To maintain your digital history, myReach cascades the old and new name, storing both within the Node’s properties and incrementing the value of the default Property "Google Drive Version".

  • Moving Folders: If you move a folder to a new location within your Drive, myReach creates a new relationship to the new parent folder. Crucially, the old relationship is preserved as a historical link, ensuring you never lose the context of where that data originally lived.

  • Handling Duplicate Folder Names:

    • Shared Identity: If you have multiple folders with the same name in different locations (e.g., two different "Invoices" folders), myReach creates one single Tag to represent them. This Tag is then linked to both parent locations, acting as a unified hub for all related files.

    • Unified Metadata: For these "duplicate" folders, the unique identifiers (GUIDs and URLs) from each Google Drive location are shown as two seperate values within the Tag's custom Properties.

    • Incremental Updates: If you rename one of these duplicate folders or import a new one with the same name, the system simply updates the existing Tag with the new path and version data rather than cluttering your Knowledge Base with a new, redundant Node.

For Files (PDFs, Docx, Audio, Video, Excel, etc):**

myReach doesn't just copy your files; it mirrors their lifecycle in Google Drive while adding a layer of version history and AI context. Here is how the system manages changes to your documents:

  • Renaming Files: If you change a file's name in Google Drive, the Node Name in myReach stays the same to protect your existing internal references. However, the "Google Drive Name" Property is updated to match the new name, and the "Google Drive Version" Property is incremented. These Properties can be found in the Properties tab of the node.

  • Moving Files: If you move a file to a new folder in Drive, myReach creates a new Relationship (Edge) to the new folder Tag. Importantly, the old relationship is not deleted; this allows the AI to understand the full history of where that file has lived throughout its lifecycle.

  • Content Updates: Whenever you modify a file's content in Google Drive, myReach automatically replaces the old data with the new version. The "Version" Property is updated, and the AI re-learns the content to ensure your Assistant always provides current information.

  • Metadata Extraction: Essential metadata, such as file size, owner and creation date, are automatically mapped to myReach Properties, making your files instantly filterable by these attributes.

  • Size Constraints: To ensure optimal performance, files exceeding 50MB are not imported. If a file is skipped due to size, you will receive an automated email notification detailing the failed import.

For Google Drive created Files: You can import the files created in Google Drive as well. For example Google drive docs, spreadsheets, Ppt, Forms, etc.
